Role Responsibilities
The Ministry of Jobs, Economy, Trade and Immigration has an exciting opportunity for you to join our team as an Investigations Assistant and make an impact behind the scenes of critical workplace safety investigations.
The Investigations Assistant provides specialized administrative support to the Investigations Unit within the Occupational Health and Safety (OHS) Branch, contributing directly to investigations and prosecutions across the province.
In this role, you will be responsible for the accurate and timely processing of electronic disclosure files related to fatality and serious incidents, which are submitted to Alberta Justice and the Crown Prosecutor’s Office. This includes assembling comprehensive documentation generated throughout investigations, such as final OHS reports, attachments, and witness statements.
You will also support transcription processes, manage and monitor shared folders with external contractors, and track and process Fleet requests. The role coordinates travel arrangements, training requests, and IT accommodations to support team operations.
Drawing on your strong understanding of administrative processes, policies, and systems within the investigations environment, you will also provide contract administration support when external specialists are engaged. In addition, you will provide backup support to branch administrative functions and the Business Manager as needed.
Key responsibilities include, but are not limited to:
- Provide specialized administrative support to Lead Investigators, Managers, Technical Advisors and the OHS Branch as needed.
- Responsible for tracking and processing prosecution recommendation files and compiling Disclosures (e-files) to the Crown Prosecutors office. Compling Disciplinary Action Complaint (DAC) files for our DAC Investigators.
- Assist with IT issues using the Bernie portal for all IT issues.
- Provide back-up and cover off on a rotational basis for other office Administrative Support and Business Manager as necessary.
- Responsible for the timely processing of invoices.
- Coordinate arrangements relating to travel, training, accommodations also booking rooms, taking minutes for team meetings.
- Provide administration support for the Investigation Files.
- Responsible for the accurate and timely processing of fleet vehicle requests via Accommodations area.
- Responsible for collecting, reviewing and saving monthly documents submitted by the staff i.e. flex timesheets, vehicle logs and gas receipts.

Qualifications
Minimum Requirements:
High school diploma and three years of related experience, or equivalent as described below.

Equivalency: Directly related education or experience considered on the basis of:
- 1 year of education for 1 year of experience; or
- 1 year of experience for 1 year of education.
The position requires the following:

- Ability to establish and maintain strong, effective working relationships.
- Excellent verbal and written communication skills.
- Ability to work independently.
- Strong knowledge of software and computer operating systems (Adobe Pro, Windows, Microsoft Office Suite – Outlook, Word, Excel, and Power Point).

This is a permanent full-time onsite position working 36.25 hours per week, Monday to Friday.
This position will be located in Edmonton, Alberta.
