Role Responsibilities

Reporting to the Area Manager and part of the Central Region administrative team, the Area Administrative Coordinator provides a broad range of administrative services to the Yellowhead Management Area and administrative support to various Area programs.

 

Key Responsibilities:

Human Resources and Staff Support:

  • Coordinating onboarding/offboarding, payroll, leave, and expense claims.
  • Maintaining personnel files and training records and responding to HR inquiries.

 

Financial Administration:

  • Processing accounts payable, P-card reconciliations, and vendor payments.
  • Supporting budget tracking, forecasting, and year-end planning.
  • Assisting with financial reporting and resolving discrepancies with the Controller.

 

Revenue Management:

  • Reconciling and tracking program revenues (e.g., camping, concessions).
  • Maintaining records and monthly forecasts and addressing reconciliation issues.

 

Asset and Records Management:

  • Maintaining asset inventory and reconciling discrepancies.
  • Organizing and disposing of records per policy and managing the electronic file system.

 

Training and Process Support:

  • Delivering training to staff on admin processes (time entry, expenses, procurement).
  • Providing follow-up and guidance to ensure compliance.

 

Operational Support:

  • Managing access cards, petty cash, and OH&S reporting.
  • Coordinating team meetings and providing general administrative support (mail, supplies, contact lists).

Qualifications

Requirements:

  • High school graduation.
  • Three (3) years of related administrative experience.

 

Equivalency: Directly related experience or completed education considered on the basis of one year of experience for one year of education, or one year of education for one year of experience.

 

Knowledge, Skills and Abilities:

  • A strong understanding of administrative support needs across diverse programs and priorities.
  • Proficiency with MS Office (especially Excel and Word), and experienced with business systems such as IMAGIS, EPS, CMS, OSSI, and Exclaim.
  • Knowledge of financial and personnel administration policies, procedures, and accounting principles.
  • Familiarity with records management, general office operations, OH&S reporting, and IT concepts and terminology.
  • Skilled in problem-solving, communication (written and verbal), and IT/office equipment troubleshooting.
  • Ability to explain complex administrative or IT issues, manage multiple priorities, and adapt to changing processes.
  • Adept at building effective working relationships and supporting others in understanding administrative requirements.
