Role Responsibilities
As the Administrative Supervisor, you will provide direct supervision, co-ordination and direction to a team of administrative assistants located within Disability Services South Zone.
Following provincial government administrative policies and procedures, you will play a highly responsible role in ensuring data related to the Disability Services program is accurately entered, coded, maintained, and filed.
You will be responsible for the Post audit verification for online claims, as well as the Post Verification Review Process. The purpose of this role is to work independently ensuring the administrative needs of the caseworkers; supervisors and manager are met following accepted timelines and procedures. A high degree of independence is required to make decisions within short time frames while maintaining a standard of excellence within the office.
Some of the responsibilities include:
• Providing day-to-day direction and leadership to Admin Support positions performing complex duties as well as performing similar duties
• Prioritize, direct, coordinate, delegate and assign work to ensure continuity of workflow, distributing work evenly and ensuring coverage of all necessary tasks
• Apply for set-up of new vendor accounts, request, and update vendor information as needed and ensure all vendor inquiries are addressed in a timely and professional manner
• Responsible for reviewing and releasing accurate payments for both the Persons with Developmental Disabilities (PDD) and Family Support for Children with Disabilities (FSCD) programs, ensuring contractual obligations are met
• Responsible for reviewing Family Managed Services (FMS) Agreements and assisting with financial reconciliation of those agreements
• Works independently within a defined framework of Policy and Procedures, with guidance from the Business Coordinator if necessary, regarding staff issues
• Performs administrative functions including, but not limited to: efficient operation of all office equipment, booking board rooms, taking minutes, updating manuals/hand-books, and typing
• On an annual basis, assist with file disposition and sending of files to Records Services for storage, ensuring appropriate retention category is adhered to. Creating and maintaining hard copy and electronic records, according to Provincial Records Standards

Qualifications
High school diploma plus three (3) years related experience.
Equivalency: directly related experience or education considered on the basis of:
• One year of experience for one year of education
• One year of education for one year of experience
The following will be considered assets:
• Relevant courses and several years related progressive office administration experience including supervisory experience
• Strong knowledge of policies, procedures and processes relating to administrative support services including accounts payable, records management, IT systems and programs and human resources practices
• Working knowledge of department resources, programs, and services as well as community resources, programs, and services
• Knowledge of computerized information systems such as Mobius, SAP, Microsoft Outlook, Word, Excel, and web-based programs.

Hours of work are 36.25 hours weekly, Monday to Friday, 8:15 a.m. to 4:30 p.m.
