Role Responsibilities
Reporting to the Executive Director (ED) Food & Bio Processing, as the Branch Administrator you will be responsible managing the daily operations of the ED office, including executive administration, issues management, providing backup for financial administration, forecasting, budgeting, monitoring agreements and contracts, assigning and ensuring timely and accurate response to action requests, purchasing of supplies/services and other procurement, FOIP requests, staffing requests, travel requests and other forms and correspondence requiring ED approvals.
As the Branch Administrator, you will ensure that the administrative standards and correspondence across the branch are consistent and supports the full complement of administrative services to the ED. You will demonstrate high level of leadership, initiative, independence, adaptability, and deal with confidential material to meet the operational needs of the branch. The position also provides cover-off to other areas in the Food and Bio Processing Branch if required.
Responsibilities:
Some of the responsibilities of this position include, but are not limited to:
- Contact/Liaison for the Assistant Deputy Minister's Office.
- Administrative Assistance to the Executive Director.
- Back up for Branch Financial Management.
- Human Resources Administration.

Qualifications
Required:
- High School Diploma
- 3 years of progressively responsible related experience in administration, supporting senior executive management.
Equivalency: Directly related education or experience considered on the basis of:
- 1 year of education for 1 year of experience; or
- 1 year of experience for 1 year of education
Assets:
- Administrative Professional Diploma/Certification.
- Experience with administrative tools such as MS Copilot, MS Teams.
- Experience with Human Resources administration for the department.
- Experience with general office practices, filing systems, records management, managing information in SharePoint or other document repositories.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, Visio, PowerPoint, and SharePoint.
- Experience with ticket or service request management tools such as Service Now (BERNIE)
- Experience with ERP systems such as SAP (1GX), and Action Request Tracking System (ARTS).
- Experience in managing complex calendar, scheduling appointments, organizing and booking meetings, coordinating accommodation and making travel arrangements.
- Experience in invoicing, ordering office supplies, surplus, and inventory management.
- Experience in coordinating, compiling briefing notes, documents and reports for senior management.
