Role Responsibilities
This position provides senior administrative assistance to the Executive Director and Directors of the Prevention Services Branch and is responsible for the supervision and coordination of all administrative functions provided within the branch. This includes coordination of activities in the Executive Director's Office and direct supervision of four administrative support positions across two units, Partnerships in Injury Reduction and Strategic Evidence and Action.
The Program Administrator provides high level administrative assistance inclusive of budget and forecasting, human resources, action requests, briefings and Access to Information requests. The position oversees all administrative functions in the branch to ensure consistency in delivery of administrative support and builds capacity to support the branch through effective workload distribution and tracking, cross training and continuous improvement.
Responsibilities include:
- Executive Coordination: Coordinate, review, and finalize Action Requests (ARTS), inquiries, and briefings for the Executive Director, ensuring accuracy, completeness, and alignment with timelines and stakeholder requirements.
- Executive Administrative Support: Provide comprehensive administrative support to the Executive Director, including managing correspondence, scheduling, meetings, agendas, minutes, and follow-ups to ensure continuity of operations.
- Financial Management: Support financial operations by preparing and monitoring budgets, validating financial reports, and overseeing payments, expenses, and procurement activities.
- Branch Operations Coordination: Coordinate and prioritize administrative activities across the branch, ensuring efficient daily operations, resource support, and accurate tracking and reporting systems.
- Supervision and Team Leadership: Oversee and supervise administrative staff, including workload management, performance evaluation, team coordination, and staff development through training and mentorship.

Qualifications
High School Diploma supplemented with four years of related experience.
Equivalency: Directly related experience or education considered on the basis of: one year of experience for one year of education or one year of education for one year of experience.

Notes
There is one full time permanent position working 36.25 hours per week, Monday to Friday.
Work location is Edmonton, Calgary or Red Deer.
