Role Responsibilities

Key Responsibilities

  • Draft, edit, and review correspondence, briefing notes, letters, memos, and other communications materials.
  • Ensure written materials are accurate, complete, and aligned with ministry policies, priorities, and correspondence standards.
  • Conduct research and analyze information to support the development of clear and effective responses.
  • Manage correspondence requests and response documents within established timelines.
  • Provide communications advice and guidance to ministry staff on correspondence processes and writing standards.
  • Collaborate with stakeholders to gather, review, and validate information for correspondence products.
  • Develop, maintain, and improve correspondence templates, processes, and information management systems.
  • Maintain correspondence resources and content on internal SharePoint and intranet sites.
  • Build and maintain effective working relationships with the Minister's Office, Deputy Minister's Office, and ministry partners.
  • Provide operational and administrative support as required, including supporting the Minister's Office and Deputy Minister's Office and acting on behalf of the Manager when assigned.

Qualifications

Required:  

  • A university degree preferably in a related discipline such as journalism, public relations, political science, or communications Plus 2 years of related experience OR a two-year diploma in a related field, plus 4 years of progressively responsible related experience. Or equivalent as described below


Equivalency: Directly related education or experience considered on the basis of:
 

  • 1 year of education for 1 year of experience; or
  • 1 year of experience for 1 year of education.


Preference will be given to candidates with experience in the following areas:

  • Proficiency working with project management and tracking software, such as the Government of Alberta’s Action Request Tracking System (ARTS).
  • Writing and editing experience within a complex or multi-faceted organization.
     

Knowledge Skills & Abilities:

  • Superior knowledge of proper English grammar, punctuation, usage, and formatting, as well as appropriate Canadian Press, plain language, and Government of Alberta styles.
  • Critical thinking and problem-solving skills, including the ability to analyze and synthesize information while.
  • Editing, and occasionally writing, documents.
  • Strong organizational skills, including ability to prioritize workload to meet clients’ needs and department’s deadlines.
  • Exceptional interpersonal skills with a history of approachability, tact, and political sensitivity.
  • Ability to work as a team player with minimal supervision.
  • Knowledge of department/government communication philosophy, procedures, preferences, and policies.
  • Knowledge of department legislation, policies, programs, and projects.
  • Strong computer skills, including the Microsoft Office suite and Action Request Tracking System (ARTS); SharePoint is an asset.
