Role Responsibilities

The Senior Operations Coordinator provides coordinated and responsive issues management and oversees the daily operations and business flow of the Executive Director’s Office within Regional Operations. Acting as a trusted advisor, the role ensures the Executive Director and Branch Leadership Team receive timely, accurate briefings and advice on current and emerging issues.

 

Key Duties and Responsibilities:

 

  • Lead and coordinate issues management for Regional Operations, ensuring timely identification, tracking, escalation, and resolution of operational issues.
  • Assess and prioritize current and emerging issues and provide clear, timely briefings and advice to the Executive Director and Branch Leadership Team.
  • Maintain situational awareness of branch operations through dashboards, reports, risk registers, and operational reporting frameworks.
  • Coordinates inter divisional and regional activities to support branch wide initiatives, priority projects, and operational alignment.
  • Develop, implement, and monitor information flow protocols and reporting rhythms with regional offices and stakeholders.
  • Coordinate and oversee responses to action requests, briefing notes, correspondence, and information requests from Ministerial offices, senior leadership, and departmental partners.
  • Manage the daily operations and business flow of the Executive Director’s Office, including planning, prioritizing, and coordinating workload.
  • Supervise, coach, and support staff within the Executive Director’s Office, providing leadership and guidance on briefing materials, stakeholder relations, and project coordination.
  • Liaise with internal and external stakeholders to support effective communication, issue resolution, and stakeholder management.
  • Support budget, staffing, and information management processes, ensuring alignment with corporate policies and procedures.
  • Represent the Executive Director at meetings and forums, as required.
  • Ensure effective records and information management practices are maintained within the branch.

Qualifications

University degree in a related field (Public administration, Business administration, Operations coordination, Environment, park or recreation management or municipal management) supplemented with a minimum of four years’ progressive experience, preferably operational coordination, issues management, executive support, or a related function.

 

Equivalencies will be considered.

 

Equivalency: Directly related education or experience considered on the basis of:

 

  • 1 year of education for 1 year of experience; or
  • 1 year of experience for 1 year of education.

 

Required:

 

  • Demonstrated experience supporting senior leadership through the preparation of briefing materials, correspondence, reports, and action requests.
  • Demonstrated ability to interpret and apply legislation, policies, and corporate directives to operational and issues‑management activities.
  • Proven ability to manage competing priorities, shifting deadlines, and high‑volume information flow in a fast‑paced environment.
  • Advanced written and verbal communication skills, including the ability to produce concise, accurate, and executive‑level documentation.
  • Demonstrated ability to analyze information from multiple sources and provide clear recommendations.
  • Proven leadership or supervisory experience, including coordinating work, providing guidance, and supporting staff performance.

 

Assets:

 

  • Experience working within a government or large public sector environment.
  • Experience supporting parks operations, recreation management, visitor services, infrastructure, tourism, conservation, or a related operational field.
  • Experience coordinating inter divisional or regional initiatives involving multiple stakeholders.
  • Experience supporting Ministerial, ADM, or Executive Director offices.
  • Experience with operational reporting tools such as dashboards, risk registers, or situational reports.
  • Experience representing senior leadership at meetings or coordinating stakeholder engagement activities.
