The Court and Justice Services (CJS) Division provides a wide range of resolution and court services for people involved in legal disputes. In collaboration with the courts of Alberta, Court and Justice Services provides various programs and services including educating and helping Albertans finding solutions for legal issues, navigating the court system, offering programs at no cost or a nominal charge, and administrative support to all courts in Alberta. Role Responsibilities

The Civil Mediation Program serves Albertans across the province who are involved in a civil legal matters. As a key member of our regional team, you will provide virtual mediation services for smaller court locations throughout the province (no travel required). You will also have the opportunity to provide cover-off assistance for the Calgary and Edmonton offices (virtually). 

In this role, you will need to be flexible, maintain a calm demeanor, and have a high aptitude for technology. Your willingness to learn and adapt to change will be crucial for success!

As Program Support with the Regional Civil Mediation team, you are the first point of contact for Alberta Justice. Your duties in this role include, but is not limited to:
 

  • Coordinating the scheduling of virtual mediation appointments in Outlook, Better Impact and Zoom.
  • Processing mediation documents.
  • Entering and updating documentation, information, and results in the databases (CASES and CRM).
  • Preparing electronic files using Microsoft Word, Excel, and Adobe Acrobat.
  • Responding to general inquiries from internal and external stakeholders and clients in person, by telephone and through written correspondence.
  • Providing support to mediators in preparation of meetings within a Microsoft Teams environment.
  • Providing assistance with troubleshooting technical difficulties experienced by mediators and participants using Zoom.
  • Assisting with special projects and coordinating information sharing.
  • Maintaining financial and statistical information for reporting.
  • Generating invoices.
  • Assisting with maintenance of mediator roster list.
  • General office duties as assigned.

Qualifications

 

Required: A High School Diploma and three years of directly related experience are required.

The following will be considered related experience:

  • Experience in office administration.
  • Experience working in a legal or court environment.
  • Experience in volunteer management.
     

Equivalencies will be considered on the basis of: 

  • 1 year of directly related education for 1 year of experience, or
  • 1 year of directly related experience for 1 year of education.

Assets

Preference will be given to candidates who have the following:

  • A post-secondary certificate or diploma in a related field such as Business Administration, Administrative Assistant, or Legal Assistant/Paralegal.
  • Training in and/or working knowledge of dispute resolution services and processes.
  • Related experience as a Legal Assistant or Judicial Clerk.
  • Experience using Zoom and Microsoft Office applications such as Word, Excel, Teams, and SharePoint.
  • Experience using Customer Relationship Management (CRM) software.
  • Work experience with scheduling appointments in a virtual environment.

Position Information:

  • This is for one full-time permanent position.
  • Location: Edmonton or Red Deer (will depend on the successful candidate’s preferred work location). 
  • Hours of Work: Monday to Friday 8:15AM-4:30PM, 36.25 hours a week.
     

Successful candidates from interviews may need to complete written assessments to identify further suitability towards the role.
