Role Responsibilities
Are you looking for an opportunity to grow your career and develop your administrative skills? As an integral member of the North Region, this position reports to and assists the Regional Business Administrator (RBA) in providing high level administrative support to the office of the Executive Director, Directors, and Regional Leadership team as required.
To be successful in this role, you will:
- Create, reconcile, and track expenditures (procurement card, invoices, contracts), accruals, etc.
- Execute and implement administrative policies; provide administrative advice.
- Draft correspondence, coordinate, and assemble materials.
- Professionally handle regional operational inquires, questions and issues that relate to administrative and operational tasks and priorities.
- Have knowledge of 1GX workplace administration to support with staffing, financial, contract, and organizational functions.
- Support the Executive Director and Directors with calendar management, email management, and meetings.
- Maintain records management systems (paper and digital formats) for all correspondence and internal documents.
- Prepare meeting agendas and minutes as required.
- Coordinate travel arrangements for branch staff.
- Maintain and order office supplies.
- Guide staff to policies regarding benefits, entitlements, and administrative matters.
- Provide cover-off for other branch administrators in the Division as required.

Qualifications
Required: A high school diploma and 3 years of related experience in general office administrative functions.
Equivalencies will be considered: Directly related experience or education considered on the basis of 1 year of experience for 1 year of education or 1 year of education for 1 year of experience.
Preference will be given to candidates with:
- Post-secondary education in administration.
- Advanced skills in MS Office Suite (Outlook, Word, Excel, PowerPoint, Publisher, Access, etc.), SharePoint, and Visio
- Strong working knowledge in government/departmental policies, procedures, and processes related to a broad variety of administrative responsibilities
- Experience drafting correspondence and information management/routing
- Experience with meeting scheduling as well as preparing agendas, minute taking
- Experience in records management (paper and electronic)
- Knowledgeable in Information Technology
- Understanding of accounting for budgeting, forecasting, accruals, accounts payable, and finance reports

Notes
Hours of work will be Monday to Friday, 8:15 am to 4:30 pm, 36.25 hours per week (full-time).
There is 1 permanent position available, location to be determined.
Preference will be given to candidates that currently reside in the North Region.
Relocation will be considered for those willing to relocate to the North Region.
Role Requirements:
- This role requires that you have a valid Class 5 Driver's License and access to a reliable vehicle.
- The ability to travel within the region is required.
- Final candidates will be required to undergo a security screening.
