Alberta Infrastructure designs, builds, manages, and maintains government-owned and operated facilities, and collaborates with other ministries to ensure that schools, hospitals and government facilities infrastructure meet the needs of Alberta’s population. Role Responsibilities
Be the backbone of Alberta’s infrastructure projects—where your organizational skills and attention to detail keep complex initiatives on track and deliver real impact for communities!
Reporting to the Senior Project Manager, the Project Assistant provides critical administrative, financial, and contract support to ensure the successful delivery of infrastructure projects across Alberta. This role manages documentation, tracks budgets, and ensures compliance with policies and standards throughout all phases of project management.
Working closely with Project Managers and liaising with contractors, consultants, and internal teams, the Project Assistant helps resolve issues, maintain accurate records, and support timely project execution.
Responsibilities:
Key responsibilities include, but are not limited to:
• Assisting in preparing budgets and financial reports, including monitoring, forecasting, and analyzing expenditures to identify issues.
• Providing comprehensive project, financial, and contract administration support to ensure successful project delivery.
• Coordinating project documentation and tender processes, maintaining accurate records and compliance with standards.
• Reviewing consultant proposals, amendments, and invoices for accuracy; ensure proper authorization and supporting documentation.
• Managing contract administration tasks such as preparing agreements, processing amendments, and updating contract management systems.
• Liaising with contractors, consultants, and internal teams to resolve issues and maintain compliance.
• Supporting reporting and monitoring by preparing project status updates and maintaining accurate data across multiple systems.

Qualifications
Required:
• High school diploma
• A minimum of three years of related administrative / financial experience.
Equivalency: Directly related education or experience considered on the basis of:
• 1 year of education for 1 year of experience; or
• 1 year of experience for 1 year education
Assets:
• Completion of accounting and/or business administration courses is desired.
• Proven experience in records management and maintaining organized documentation systems.
• Solid understanding of project management principles and workflows.
• Proficiency in automated information and business productivity systems, including Microsoft Office Suite, CMS, FBIS, BLIMS/RAP, ICAPS, IMAGIS or similar ERP systems.
• Strong grasp of basic accounting principles and financial documentation.
• Familiarity with business plans, organizational structures, and reporting relationships.
• Experience in contract administration, including:
- Preparing contract documents and related correspondence.
- Attending tender openings and verifying bid documentation.
- Ensuring compliance with contract conditions.
• Skilled in invoice processing and contract closure procedures.
• Ability to liaise effectively with contractors and project managers to resolve financial concerns and ensure timely execution of services.
• Experience in identifying and rectifying invoice irregularities.
• Demonstrated ability to witness and verify bids during tender openings.
