Fleet Management Services is the business unit within the Central Logistics Branch in SARTR that administers the government vehicle program. The program provides services designed to support departments in vehicle administration, vehicle operation and vehicle safety.
Services include:
- Management and allocation of the GoA fleet capital budget.
- Fleet standards, guidelines, governance, and best practices.
- Fleet vehicle acquisition, replacement, delivery, and disposal.
- Vendor contract management.
- Vehicle maintenance, inspection and repair practices and application.
- Driver guidelines, governance, and best practices.
Role Responsibilities

As a Program Coordinator, you will ensure the delivery of quality vehicle management program services through the effective and efficient administration of financial resources within government policies and procedures, manage data collection and reporting in support of the requirements of the enterprise and in line with Service Alberta and Red Tape Reduction policies and goals.
Reporting to the Team Lead, Fleet Management Office, the Program Coordinator performs these core functions:
- Effectively and efficiently coordinates activities and initiatives in the delivery of the vehicle program to meet and exceed the requirements of client departments in support of program delivery to Albertans.
- Assists ministries in vehicle life cycle management and replacement planning through a variety of ad-hoc and planned activities.
- Issues purchase orders for new vehicle acquisitions and aftermarket equipment with manufacturers and vendors.
- Executes various administration functions in the delivery of the vehicle program.
- Contributes to system data integrity by maintain a high level of accuracy in data entry and conducts audits as needed.
- Assists in the development of policies, processes, procedures, and best practices for the vehicle program.
- Supports process to ensure budget thresholds and financial reporting requirements are satisfied and managed in a timely and effective manner.
- Maintains current product knowledge on a broad range of vehicles and aftermarket equipment through research, and review of publications, catalogues, on-line materials, and regular communication with vendor community.
- Assists departments in a timely and efficient manner to ensure successful delivery of the client's internal and external facing programs.
- Provides consultation, guidance, and advice to internal and external stakeholders on policies and procedures.

- Strong communication skills to enable the development and positive maintenance of collaborative working relationships with clients, vendors, and stakeholders.
The following will be considered as assets to this role:
- Knowledge of Access, 1GX, and Fleet Management Information System is preferred.
- Experience using MS SharePoint for business operations is preferred.
- Additional knowledge of stakeholder applications such as OSSI, EPS, Holman Insights is an asset.

Qualifications
High School Diploma and 4 years of related experience.
Directly related experience or education considered based on:
- 1 year of experience for 1 year of education; or
- 1 year of education for 1 year of experience.

Other requirements include:
- Knowledge of governing legislation, regulations, policies, and guidelines (i.e., Government Organization Act, Government Accountability Act, Financial Administration Act, Traffic Safety Act, Treasury Board Directives) is required.
- A general understanding of contracts and vendor relationship management is preferred. This includes familiarity with procurement policies, procedures, and documents.
- Experience with fleet management principles and processes, including those relating to acquisition, maintenance, deployment, disposition, safety, and fleet services card system is required.
- Ability to push, pull and lift heavy items and objects (up to 50 pounds).
- Able to work in a warehouse environment and outside in variable weather conditions.
- Demonstrate good mobility and dexterity as position may require walking and standing for significant periods of time.
- Adapt to changes in operational requirements, such as hours of operations or procedures.
- Work in a team environment and have the ability to maintain a neat and clean work environment, including all related designated areas.
- A valid class 5 driver's license and a drivers' abstract consent form is required.
- Proficiency in MS Office Suite (Word, and Excel).
