The Procurement Services Branch provides guidance and expertise to the enterprise on open and transparent procurement practices, while working closely with all ministries to meet their purchasing needs, provides procurement options that meet our public procurement obligations resulting in acquisition of high-quality, cost-effective goods and services. Procurement Services also provides services related to warehousing and surplus sales, inter-provincial trade, vendor relationship management, data analysis and reporting.
Role Responsibilities
Within Procurement Services, Corporate Purchasing is responsible for the procurement of goods and associated services valued over $10,000 on behalf of all ministries as mandated in accordance with the Government Organization Act, the Direct Purchase Regulation and the Direct Purchase Administrative Practices. This unit is responsible for approximately 300 mandated procurements annually, in addition to establishing and maintaining approximately 200 government-wide and ministry specific standing offers and blanket contracts. The majority of these contracts are also available for use by other Municipalities, Academia, Schools and Health (MASH) sector entities and many have outward faced public impact (e.g. Alberta Aids to Daily Living Program contracts for goods used by Albertans).
We are recruiting for an entry level role in the Corporate Purchasing unit of the Procurement Services Branch.
As a Procurement Coordinator, your responsibilities include but not limited to:
- Support each step of the procurement process by preparing detailed documents, collating information, updating records, and checking quality assurance.
- Use the Supply Chain Management functions of the GoA’s Enterprise Resource Planning system (1GX).
- Create and maintain a database of common questions & answers about procurements, contracts and supply arrangements.
- Keep track of clients and projects to coordinate effective outreach and customer service.
- Ensure catalogs, databases, templates, and instruction sheets are effectively maintained.
To be successful in this role you must:
- Have excellent attention to detail, with an ability to provide quality assurance even when things are busy.
- Have (or be able to develop) user expertise in a complex Enterprise Resource Planning IT system (1GX).
- Be motivated to find answers through careful reading and thoughtful research.
- Make sound judgments about how to interpret and respond to client and vendor enquiries
- Look for ways to be a positive influence, even without positional authority.
- Have enthusiasm for policy and procurement.

Qualifications
University graduation in a related field; no experience required.
Equivalencies:
- A one-year related certificate and 3 years of related experience or
- A two-year diploma and 2 years of related experience.
The following are considered assets:
- Professional purchasing certification (e.g. SCMP or similar).
- Experience using Ariba supply chain management software (or similar).
- Experience navigating GoA’s 1GX technology system.
- Experience using GoA’s Action Request Tracking System (ARTS).
- Knowledge of GoA’s policies, organizational structures and machinery of government.

Hours of Work are Monday to Friday, 8:15 am to 4:30 pm, with one hour lunch break.
