Role Responsibilities
Reporting to the Manager, the Logistics Officer, Mission Planning, provides expert operational and tactical coordination to support the planning and delivery of domestic and international mission programs.
This role leads end-to-end logistics planning, including travel, transportation, itineraries, entry requirements, materials coordination, and contingency planning, while working closely with the Stakeholder Engagement Advisor and other internal and external partners to support the successful delivery of mission objectives.
The position requires sound judgment, strong organizational skills, and the ability to anticipate issues, manage competing priorities, and respond effectively in a dynamic environment.
Responsibilities
Some of the responsibilities of this position include, but are not limited to:
Mission Planning and Coordination

- Lead the coordination of logistics for domestic and international missions, including travel, accommodations, itineraries, and scheduling
- Prepare mission proposals, travel packages, and ensure all approvals and documentation are secured
- Coordinate mission binders and supporting materials, ensuring completeness and accuracy
- Maintain tracking systems, timelines, and SharePoint repositories for mission documentation
- Collaborate with internal program areas, executive offices, and external partners to align logistics and objectives
- Support post-mission reporting, including trip summaries and documentation
Communications and Materials Development

- Prepare and coordinate briefing materials, itineraries, correspondence, and other supporting documents required for mission delivery
- Ensure materials are accurate, complete, and aligned with operational requirements and approved messaging
- Provide quality assurance for written materials and supporting documentation
- Support the coordination of communications products in collaboration with communications teams, as required
Digital Work Practices

- Utilize Microsoft Office tools (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) to support mission planning and coordination
- Use approved digital tools to improve efficiency in planning, scheduling, and document preparation
- Identify opportunities to improve workflows and administrative processes through digital solutions
- Apply sound judgment to support the responsible and secure use of digital tools

Qualifications
Requirements:
- University graduation in Business Administration, Public Administration, Communications, or a related field.
- A minimum of four (4) years of related experience.
- Experience supporting stakeholder engagement, intergovernmental or international relations, or related operational files.
- Experience managing domestic and international travel logistics, including itineraries, accommodations, approvals, and related operational requirements.
- Project management experience, including the ability to manage multiple priorities, track deliverables, and meet tight deadlines in a fast-paced environment.
- A cover letter is required outlining how your skills and experience align with the responsibilities of the role. The cover letter will be used to assess written communication skills.
- Experience developing contingency plans and responding to changing operational requirements for executive-level events, missions, or engagements.
- Experience coordinating complex, high-profile events, ministerial engagements, or executive-level missions involving multiple stakeholders and sensitive logistical requirements.
- Experience liaising with embassies, consulates, government representatives, or external partners is an asset.
- Knowledge of Alberta government priorities and the ministry context is an asset.
- Strong attention to detail and problem-solving skills, with the ability to identify issues, assess risks, and develop practical solutions.
- Experience supporting the planning and execution of domestic and international missions, including logistics coordination, briefing material preparation, and post-engagement reporting.
Equivalencies: Directly related education or experience considered on the basis of:
- 1 year of education for 1 year of experience; or
- 1 year of experience for 1 year of education
Assets:
