Role Responsibilities

Reporting to the Manager of Business Operations within the Divisional Support Office, the Legal Operations Analyst plays a key role in driving operational excellence within the Legal Services Division. A primary focus for you in this position is coordinating and overseeing the division’s role in Litigation and Contingent Liability Reporting (CLR) a high-profile, audit-sensitive process that supports Financial Reporting across the Government of Alberta and is subject to review by the Office of the Auditor General (OAG).

 

In this position, you will work closely with the Executive Directors, legal teams, paralegals, business analysts, and leadership to ensure accuracy, compliance, and timely updates for the CLR process. As a Legal Operations Analyst, you will also be responsible to provide a broad range of support to the Executive Directors and other senior staff members within the Legal Services Division, broader legal operations initiatives, process improvements, and training across the division.

 

Your responsibilities in this position will include, but will not be limited to:

  • Coordinating the division’s CLR activities, ensuring timely and accurate updates in alignment with OAG, financial, and procedural requirements, including managing deadlines, milestones, and deliverables.
  • Understanding, supporting and recording the assessment of key legal and financial risks related to litigation matters, based on information from legal teams and lawyers’ evaluations.
  • Demonstrating the ability to review and interpret contractual documents and agreements (i.e. Statements of Claim, demand letters, etc.), in consultation with Civil Crown Counsel, to identify financial obligations, risks, and exposures for the Province, and to accurately track and manage those obligations within the Contingent Liability Reporting (CLR) process to support effective risk management and compliance.
  • Responding to inquiries from numerous stakeholders at various levels within the Government of Alberta with increasing independence over time.
  • Being the Gatekeeper ensuring only authorized, accurate, and verified updates are made.
  • Collaborating with litigation paralegals, providing oversight, troubleshooting, and acting as backup during absences.
  • Maintaining manuals, process documentation, and training materials to ensure consistency and compliance; delivering presentations and training to legal teams as required.
  • Gathering feedback from stakeholders with the goal of continuous improvement.
  • Supporting and implementing process improvements in collaboration with business analysts and other operational staff.
  • Assisting with case management tasks, including organizing case files, applying filing best practices, tracking deadlines, and ensuring procedural compliance.
  • Preparing, reviewing, and analyzing reports and dashboards to support operational decisions and performance tracking.
  • Contributing to special projects, operational initiatives, and strategic priorities within the Legal Services Division.
  • Drafting and editing Legal Service’s guidelines and polices with the direction of the Executive Directors (ED).

Role Responsibilities Continued

  • Proceeding with various projects and reporting for the ED’s and Assistant Deputy Ministers Office within Legal Services, including bi-weekly Litigation reporting.
  • Independently drafting briefing notes and drafting and filing any required court documents at all levels of Court.
  • Managing and organizing files and voluminous records while Identifying issues on files and conducting legal/topical research.
  • Demonstrating proficiency in Microsoft Excel, including the use of formulas, applying functions, analyzing sheets, and developing reports to support business and financial decision-making.
  • Preparing and distributing regular summaries.
  • Expropriations.
  • External Counsel matters including drafting retainers, ongoing review of invoices and tracking.
  • Any other duties as required.

  • Demonstrate a proactive approach to work, with the ability to anticipate next steps, identify emerging issues, and understand the broader business context. Able to see the ‘big picture’ and assess the downstream impacts of actions and decisions.

Qualifications

Requirements:

 

4-year university degree in a related field such as Public Administration, Law, Paralegal, Political Science, Business, Information Technology, or Communications plus 2 years of progressively responsible related experience.

 

Equivalencies:

  • A related two-year diploma and a minimum of four (4) years of related experience; or
  • A related one-year certificate and a minimum of five (5) years of related experience; or
  • A minimum of six (6) years of related experience.
