Role Responsibilities

We’re looking for a Branch Administrator to play a key role in enabling the delivery of Labour Relations and Occupational Health & Safety programs across the Alberta Public Service.

 

Reporting to the Executive Director, this position is central to ensuring the smooth, efficient, and compliant operation of the branch, supporting leadership, coordinating operations, and helping teams deliver important services that impact workplaces across the province.

 

What You’ll Do
In this role, you’ll be the backbone of branch operations, providing high-level administrative coordination and ensuring everything runs seamlessly.
Executive & Branch Support
•    Provide senior administrative support to the Executive Director, including managing schedules, editing and finalizing communications or submissions, and tracking key priorities.
•    Coordinate administrative services across multiple program areas [(Arbitration & Disputes (A&D), Workplace Conduct Investigations Unit (WCIU), Labour Relations & Negotiations (LR&N), and Occupational Health & Safety (OHS)], supporting case management activities including uploading and tracking WCIU and A&D submissions or grievance conveyances and other related duties.
•    Maintain accurate records and ensure confidentiality, while helping teams meet critical timelines
Operational Coordination & Administration
•    Lead the coordination and auditing of travel, events, financial transactions, and procurement processes to ensure they meet policy requirements.
•    Manage vendor relationships and support contract administration including tracking expenses against contract mandates.
•    Maintain organizational tools such as organizational charts, distribution lists, and administrative systems.
•    Develop and improve administrative processes aligned with corporate and government standards.
Onboarding, Offboarding & Employee Support
•    Coordinate onboarding and offboarding to ensure employees have the tools, access, and support they need.
•    Work closely with partners across Information & Technology, Facilities, Human Resources, and Security.
•    Support workplace accommodations submitted to the Executive Director and/or Branch, ensuring requests are coordinated and documented effectively.
Financial Management & Budget Support
•    Assist with branch budgeting, forecasting, and financial reporting in consultation with Branch and Issues Coordinator, and Executive Director.
•    Monitor expenditures and support monthly forecasting.
•    Prepare budget-to-actual analyses to inform decision-making.
Client Service & Reporting
•    Respond to inquiries from a wide range of stakeholders.
•    Coordinate responses through shared inboxes and intake channels.
•    Support reporting and data requests, contributing to branch initiatives.
•    Collaborate with other administrators to ensure consistent and effective practices.

Qualifications

Minimum recruitment standard: High school diploma plus minimum three years of related experience providing senior-level administrative support in a complex environment. Preference will be given to candidates with a diploma in Executive Administration, Administrative Management, or a related field.

 

 Equivalency: The following equivalent education/experience will be considered:

•    1 year of education for 1 year of experience; or
•    1 year of experience for 1 year of education.


Job Requirement
•    Significant experience providing senior-level administrative support in a complex environment.
•    Experience with budgeting, forecasting, and financial monitoring.
•    Advanced proficiency with office tools (including SharePoint) and data analysis.


Assets 
•    Bachelor’s degree.
•    Experience in Labour Relations, Legal, or investigations environments.
•    Familiarity with investigation frameworks or case management practices.
•    Strong experience managing administrative processes in high volume settings.
•    Project management experience.
