Role Responsibilities

Reporting to the Director of Operations, you will be responsible for the day-to-day supervision and management of a team of Judicial Assistants, while also performing the duties of a Judicial Assistant. 
 
As a Team Lead, you will be responsible for a wide variety of tasks, including but not limited to: 

  • Participating in the recruitment process and coordinating onboarding and training for new Judicial Assistants.
  • Administering the performance planning process for judicial assistants ensuring that goals are set, reviewed and achieved. 
  • Managing leave requests, absences and time entries ensuring adequate coverage for the judges is maintained.
  • Monitoring workloads, reallocating/delegating work and assisting with prioritization of tasks.
  • Reviewing and seeking approval for requests for professional development.
  • Building a collaborative environment which supports productivity and helps to achieve positive outcomes.
  • Ensuring appropriate supplies are maintained.
  • Participating in leadership initiatives for the Court of Appeal and representing the Judicial Assistant Team on various committees.

 
You will also provide comprehensive senior executive administrative and legal support to one or more Justices of the Court of Appeal of Alberta, including but not limited to:

  • Managing the office of the assigned judge(s).
  • Managing the judgment process from inception to publication which includes: typing, formatting, editing and proofreading judgments,as well as researching and verifying case and statute citations, to ensure accuracy of the finished product prior to filing.
  • Managing calendars and scheduling appointments.
  • Documenting and processing budgetary/claim expenses.
  • Researching and preparing correspondence and memoranda of a highly complex and confidential nature.
  • Preparing material for court hearings.
  • Handling sensitive and confidential information.
  • Establishing and maintaining hard-copy and electronic filing systems including organizing and classifying records.
  • Handling incoming telephone inquiries and mail.
  • Coordinating travel arrangements often of a complex nature.
  • Coordinating meetings and conferences, which includes organizing and assembling all documents required.
  • Performing backup duties for other Judicial Assistants.

Qualifications

 

Required: Two (2) year diploma in a related field (e.g., Legal Assistant, Paralegal, etc.) plus two (2) years progressively related experience in a legal or court field or environment.

 

Examples of related experience that will be considered include: Judicial Assistant, Judicial or Court Clerk, Legal Assistant, and Executive Assistant, and Administrative Assistant.

Equivalencies will be considered on the basis of: 

  • One year of directly related experience for one year of education, or 
  • One year of directly related education for one year of experience.
     

Assets
Preference will be given to candidates with the following:

  • Supervisory work experience (including Acting Supervisor work experience; please ensure acting experience is captured on your resume).
  • Experience as a Judicial Assistant, preferably with the Court of Appeal of Alberta.
  • Experience working with Microsoft Office applications (Word, Excel, Access, PowerPoint, Publisher, One Note and Outlook).
  • Experience working with CAMS (Court of Appeal Management System).

Position Information:

  • This is for one, full-time, permanent position.
  • Work Location: Court of Appeal Building, Edmonton, Alberta.
  • Hours of Work: Monday to Friday, 36.25 hours per week.
