Role Responsibilities


Do you enjoy being a part of a school child’s first visit to a museum? Are you energized by thinking on your feet and dealing with a dynamic, high paced environment? The Royal Alberta Museum is looking for someone to coordinate the day-to-day registration and orientation of educational programs and year round registered programs.


The Group Bookings Officer is the first point of contact for schools, daycares, summer camps, etc., from pre-visit engagement and payment, on-site orientation and support and post visit follow up.


The Group Bookings Officer oversight also includes the management of the ticketing software including database management, record keeping, trouble shooting and training on the bookings module.


Key Responsibilities include:

•    Manage and adhere to established booking procedures in alignment with Government of Alberta and Royal Alberta Museum policies. This includes processing payments, compiling statistics, running revenue reports, and reporting on booking revenue with precision and timeliness. 
•    Ensure excellent customer service through accuracy in program descriptions, pricing and scheduling of school and public programs. Provide informed and contextual support to teachers and other participants. 
•    Oversee Front of House and Group Arrival areas to ensure it is a safe and welcoming environment with prepared supplies and equipment to support school group arrivals, lunch periods and departures. 
•    Supervise Booking Volunteers by recruiting, training, scheduling, providing feedback and showing appreciation to the Learning Team volunteers.

Qualifications


The following are required: 

•    High school diploma and 2 years related experience in a shift supervisor role including training, coaching, mentoring. 


Equivalencies will be considered on the basis of 1 year of education for 1 year of experience; or 1 year of experience for 1 year of education will be considered.


You will possess the following: 

•    Strong written and verbal communication skills.
•    Ability to lift 25lbs and spend extended hours walking and standing, speaking loudly.
•    Commitment to teamwork, continuous improvement, and providing the finest in client satisfaction.
•    Strong oral and written communication skills; including ability to interact effectively with a range of audiences and communicate complex concepts in user-appropriate language.
•    Ability to prioritize tasks, to multitask effectively, to perform well under pressure.


The following are considered assets:

•    Staff management, cost control, and loss prevention.
•    Previous experience with ATMS and/or other ticketing systems.
•    Ability to communicate (written and spoken) in French.
•    Experience coordinating large groups and education programs.
•    Previous work in a museum or Art Gallery.
•    Knowledge of basic accounting skills.
•    Volunteer supervision.
•    Availability to work weekends and holidays.
•    Knowledge of office procedures and software including Microsoft 365 Apps.

Notes


Hours of work are 36.25 hours weekly; schedule is Monday through Friday including some holidays.
