Role Responsibilities

This position supports the daily financial operations of the Technical and Corporate Services Division by coordinating grant administration, overseeing procurement processes, and assisting with financial reporting and transaction processing. The role ensures efficient and accurate handling of grants, contracts, and internal financial procedures.

Key Responsibilities:

1. Grant Program Administration
Support the administration of annual and ad hoc grant programs.
Coordinate the review and evaluation of grant applications to meet fiscal deadlines.
Develop and maintain tracking tools to monitor grant application status and funding allocations
Prepare Action Requests for Ministerial approval of program and disbursements.
Assist program areas to analyze trends in grant applications to support program planning and improvement.
Monitor disbursements for accuracy and alignment with approved funding.

2. Conditional Grant and Contract Oversight
Draft Action Requests and develop conditional grant agreements.
Verify contract and legal information.
Track deliverables and follow up with recipients to ensure compliance.
Coordinate internal reviews of grant agreements to ensure alignment with legal and financial standards.
Provide training or guidance to program staff on grant compliance requirements will support from Supervisor, Business Services

.

3. Procurement Coordination
Lead procurement activities in compliance with ministry and government policies.
Develop work plans and support program areas through solicitation and contracting processes.
Maintain and update contract files and contribute to approval documentation.
Facilitate vendor evaluations and maintain records of performance for future reference.

4. Financial and Administrative Support
Assist with year-end accruals, invoice processing, and payment tracking.
Work with divisional financial support to reconcile financial discrepancies and follow up on outstanding payments or documentation.
Assist in the development of internal financial controls and process improvements.
Support the Division’s budget coordinator with forecasts and reconciliations.
Contribute to the preparation of financial summaries and reports.
Provide administrative backup within the unit as required.

Qualifications

High school diploma and three years of related experience.

Equivalency: Directly related education or experience considered based on:
1 year of education for 1 year of experience; or
1 year of experience for 1 year of education.

Assets
Good understanding of accounting principles to ensure compliance in branch financial operations.
Knowledge of Government of Alberta Financial Policies and Procedures for accurate financial handling.
Proficiency in Microsoft 365 and familiarity with the Government of Alberta’s 1GX system for managing contracts and purchase orders.
Certification or coursework in public sector procurement (e.g., PMAC, SCMP, CPPB, or equivalent).
Education in a relevant field such as supply chain management, business administration and/or finance or accounting.
Familiarity with grant lifecycle management, including application review, agreement drafting, and compliance monitoring.
