The Business Services Branch strives to enhance ministry performance, transparency and accountability by providing planning, reporting and evaluation services to support achievement of ministry objectives. It also coordinates and manages the department’s engagement with centralized services, while ensuring staff have the necessary accommodations and workplace supports to deliver on their work.
 

Role Responsibilities

The Facilities Advisor has extensive knowledge of government legislation, directives, policies, standards, and guidelines in the areas of facility management, space planning, tenant improvements, occupational health and safety, telecommunications, ergonomics, parking, security, accommodation standards, surplus, central supplies, revenue processing, and budget planning and forecasting.
 
The position requires strong logical and methodical reasoning as well as priority planning skills. The Facilities Advisor must be able to effectively communicate, plan, budget, investigate issues, provide options, make recommendations, and
manage projects.
 

Under the guidance of the Manager, the Facilities Advisor is the primary point of contact for the department. The Facilities Advisor is responsible for the following activities:
 

  1. Parking Administration and Coordination – educate, receive, review and process parking requests for staff.
  2. Telecommunication Services Coordination - responsible for the day-to-day telecommunication (landline) operations, resolving client issues and complaints.
  3. Furniture / Surplus / Recycle / Ergonomics – Administer the process for Energy in acquiring, installing, and disposing of new and recycle furniture.
  4. Shared Services – with guidance and direction from the Manager and Shared Services Analyst, provide assistance to ministry staff.
  5. Property Management – represent several Departments in the building (Edmonton) to ensure government and building property is maintained and meet operational requirements.  
  6. Accommodation guidelines-collaboration with the Senior Accommodation Planner, the facilities Advisor is responsible for developing and maintaining accommodation guidelines and procedures in adherence with the GOA directives.
  7. Support of organization needs – As senior leadership and various committee’s (Occupational Health and Safety (OHS), United way, Staff safety committee and others) alter the needs in the building to address staff wellbeing, security and safety needs responsible for maintaining security protocols to ensure physical security of personnel, equipment, resources and to protect property from damage or harm.
  8. Perform all other duties and tasks as assigned. Other duties as assigned from time to time.

Qualifications

High School Diploma and 4 years related experience.
 
The position requires the following experience as: 

  • Strong logical and methodical reasoning
  • Ability to effectively communicate, plan, budget, investigate issues, provide options, make recommendations, manage time and manage projects.
     

Directly related education or experience considered on the basis of: 

  • 1 year of education for 1 year of experience; or 
  • 1 year of experience for 1 year of education
     

The following are considered assets:

  • Comprehension of government and departmental processes, standards, policies and procedures, procurement policies and limitations and resources regarding government accommodation.
  • Experience in direct, corporate service delivery (Accommodations, IT, finance, etc).
  • Strong interpersonal skills with a focus on client interaction.

Notes

This is a full-time permanent position working 36.25 hours per week, Monday to Friday.

Working location is is Petroleum Plaza Building North Tower, Edmonton.

Due to the nature of the work, this position is not eligible for hybrid work arrangements.
