Role Responsibilities

The division of Skilled Trades and Partnerships is looking for an Executive Assistant to provide support in the Assistant Deputy Minister’s Office (ADMO).

As the Executive Assistant, you will support the Assistant Deputy Minister (ADM) through providing senior administrative services, information management and operational and project management as required.

 We seek individuals ready to be involved in an exciting dynamic and evolving work environment! The Skilled Trades and Partnerships division is responsible for advancing Alberta’s International Education Strategy, liaising on post-secondary research and innovation, and administering Alberta’s apprenticeship and skilled trades system. The division supports access to foundational learning programming to ensure adult learning opportunities are accessible to Albertans.

 

Your main responsibilities will include:

  • Coordinate and manage the day‑to‑day administrative operations of the ADMO, ensuring efficient workflow, issue tracking, and follow‑up.
  • Manage the ADM’s schedule and meeting priorities, including assessing requests, resolving conflicts, coordinating agendas, and ensuring appropriate briefing materials are prepared.
  • Initiate, assign, monitor, and track action request responses ensuring due dates are met.
  • Liaise with the Deputy Minister’s Office of Advanced Education and other senior Ministry and stakeholder representatives to coordinate work processes, administrative issues, effective communication and information flow.
  • Coordinate and oversee Action Requests (ARs) by tracking, prioritizing, quality‑checking, and ensuring timely, protocol‑compliant responses across the division.
  • Ensure confidential and sensitive correspondence and information, exercising sound judgment to flag urgent matters and recommend appropriate courses of action.
  • Support financial administration for the ADMO, including invoice processing, expense claims, contract payments, and monitoring expenditures in compliance with GOA legislation and policies.
  • Build and maintain strong supportive relationships with internal GOA stakeholders and external contacts. 
  • Provide operational and project coordination support, including Access to Information request management, divisional initiatives, committee participation, and cross‑branch activity coordination.
  • Provide executive‑level administrative and HR support, including maintaining contact lists, coordinating onboarding/offboarding logistics, updating job descriptions and org charts, and providing backup support to the Deputy Minister’s Office.
  • Work collaboratively as a member of the ADMO to deliver on daily priorities.

Qualifications

 

High School Diploma and four years progressively responsible related experience; or equivalent as described below.

 

Equivalency - Directly related education or experience considered on the basis of:

  • 1 years of education for 1 year of experience; or
  • 1 year of experience for 1 year education

 

 

Requirements:

  • Previous experience providing support to C-suite executives in a large/complex organization.

 

 

Assets:

    • Proven ability to excel in fast paced environments, managing competing deadlines and balancing the heavy workload demands of senior business executives, including coordination of calendars and scheduling
    • Experience booking travel and processing expense claims.
    • Skilled in routing, reviewing, and organizing high volumes of briefing notes and action requests, with attention to detail and prioritization.
    • Proficiency in Microsoft Office Suite, including Word (editing and formatting), Outlook (meeting scheduling), PowerPoint (presentation development), and Excel (data entry and tracking).
    • Strong background in records management, maintaining accuracy, compliance, and accessibility.
    • Demonstrated ability to anticipate issues and resolve problems with sound judgment, ensuring smooth operations under pressure.
    • Experience with records management (ARTS), etc.).
    • Proven relationship building skills across diverse networks, fostering collaboration and trust.
    • Experience managing Access to Information Act and Regulations (ATIA) and Protection of Privacy Act (POPA) (previously Freedom of Information of Information and Protection of Privacy (FOIP) requests, ensuring compliance with legislation and organizational standards.
