Role Responsibilities
Reporting to the Executive Director, the Executive Assistant provides comprehensive administrative and operational support to the branch leadership team. This role is responsible for managing branch-wide administrative functions, supporting executive decision-making, and ensuring efficient coordination of people, finances, records, and information.
Key Responsibilities
- Provide executive-level administrative support to the Executive Director and senior managers, including scheduling meetings, preparing agendas and minutes, coordinating materials, and organizing travel as required
- Manage branch IT and records functions, including electronic folder access, records management, and alignment with Government of Alberta information management requirements
- Consolidate and track branch budget information, including monitoring expenditures, supporting quarterly forecasting, reviewing and reconciling P‑card transactions, and ensuring accurate budget coding
- Oversee branch administrative operations by coordinating monthly branch meetings, supporting intranet updates, and identifying opportunities for continuous process improvement
- Manage branch personnel administration, including tracking absences, maintaining work/life calendars, coordinating 1GX reporting, and preparing HR documentation related to staffing, performance, leaves, and employee transitions

Qualifications
Requirements:
- High school diploma and a minimum of three (3) years of related experience.
- Equivalency will be considered on the basis of one (1) year of directly related experience for one (1) year of education, or one (1) year of education for one (1) year of experience.
- Proficiency with Microsoft 365 (M365) (e.g., Outlook, Excel, Word, Teams, SharePoint).
- Experience with financial tracking and reconciliation, including reviewing expenditures and ensuring accurate coding.
- Experience with SharePoint administration.
Assets:
- Demonstrated strength in administrative, communication, organizational, interpersonal, and multitasking skills in a complex office environment
- Experience using Adobe Acrobat Pro for document editing, formatting, and review
- Proven ability to review, edit, and proofread a wide variety of materials, applying attention to detail and ministry formatting standards
- Proficiency with Government of Alberta systems, including ARTS, 1GX, and BERNIE
- Strong understanding of Government of Alberta policies, procedures, and best practices related to finance, human resources, and procurement

Notes
- We have one (1) permanent, full-time position available, working 36.25 hours per week, Monday to Friday (8:15 am – 4:30 pm).
