Role Responsibilities

Reporting to the Manager of Business Operations, the Legal System Support Business Analyst plays a key role in driving operational excellence within the Legal Services Division. As a Legal System Support Business Analyst, you will support the delivery of high-quality legal services by enhancing systems, streamlining processes, and improving overall operational effectiveness.

 

Working closely with internal stakeholders and external vendors, you will be responsible for analyzing, designing, and integrating business management solutions for critical legal systems, including eDiscovery system Nuix, case management, time tracking, and document management platforms. In this role, you will require a strategic mindset and a strong grasp of IT advancements to ensure solutions meet the evolving needs of all Legal Services teams.

 

Through leadership in project planning and execution, you will ensure that systems and processes are continuously optimized and aligned with both divisional and organizational objectives - ultimately strengthening the quality, efficiency, and responsiveness of legal services.

 

Your responsibilities in this role include but are not limited to:

 

  • System Administration and Vendor Coordination: Oversee system operations by managing upgrades, patches, and incident resolution. Maintain comprehensive technical documentation and ensure adherence to service-level agreements (SLAs) for application support.
  • Application and Process Optimization: Partner with stakeholders and vendors to analyze, document, and enhance applications and workflows. Deliver improvements through requirements gathering, functional specifications, user acceptance testing (UAT), training, and iterative process optimization.
  • Data Analytics and Integrity: Develop and maintain KPI dashboards and ad hoc reports using SQL queries and Business Intelligence tools. Implement data validation routines and integrity checks to ensure accuracy and reliability of reporting outputs.
  • System Performance and Compliance: Monitor application performance metrics, coordinate disaster recovery exercises, and maintain audit-ready documentation. Ensure compliance with security and continuity standards for daily online operations.
  • IT Systems and Client Support Services: Deliver a full range of IT application and client support services, including hardware/software planning, systems design, development, testing, implementation, and documentation. Provide system maintenance, client training, management information reporting, and end-user computing support.
  • Strategic and Operational Planning: Lead cross-functional projects aligned with organizational strategies such as onboarding law teams. Facilitate stakeholder engagement, environment configuration, contribute to policy development, and apply project management methodologies to improve operational efficiency.
  • Business Process Re-engineering: Drive change initiatives by conducting process modeling, gap analysis, and solution evaluation. Apply Lean or Six Sigma principles to streamline workflows and enhance service delivery.
  • Project and Change Management: Define project scope, manage timelines, and monitor deliverables using recognized frameworks (e.g., Agile, Waterfall). Provide end-user training and change management support to ensure successful adoption of new systems and processes.
  • Team-Based System Development: Collaborate within a team environment to maintain and enhance existing and new IT systems as per service plans and schedules. Contribute to design, construction, testing, and implementation of diverse applications supporting client requirements and Ministry objectives.

  • Proficiency in SQL, data querying, and reporting tools (e.g., Power BI, Tableau).
  • Proficiency in system integration, testing methodologies, and documentation standards.
  • Strong understanding of information systems best practices, including testing and disaster recovery planning, application support, collaboration with clients and vendors, application security compliance, change management, and client training.
  • Excellent written and oral communication skills with the proven ability to present complex information in a clear and concise format.
  • Strong interpersonal and collaboration abilities, adept at building relationships, influencing decisions, and driving alignment across cross-functional teams and stakeholder groups.
  • Strong analytical and diagnostic skills, with proven ability to perform root cause analysis and implement effective solutions for complex issues.

Qualifications

Requirements:

  • University degree (4 years) in a related field, such as Business, Computer Science, Information Technology or a related field plus a minimum of two (2) years related experience.
  • Directly related education or experience considered on the basis of:
    • A related two-year diploma and a minimum of four (4) years of related experience; or
    • A related one-year certificate and a minimum of five (5) years of related experience; or
  • A minimum of six (6) years of related experience.
  • Experience with creating and maintaining business and technical documentation.
  • Experience with stakeholder and relationship management.
