Role Responsibilities

Are you looking to grow your administrative skills and financial expertise in a dynamic environment? Join the Correctional Services Division, Community Corrections Branch, as a Business Administrator for an opportunity to challenge yourself and advance your career!

There are two positions for this role, Edmonton District and North District.

Reporting to the District Director, Community Corrections Branch, you will make a direct impact on all areas of the Community Corrections Branch. 

This is a complex role involved in a variety of sensitive matters including confidential information regarding employees, human resources, payroll, and in all areas regarding financial matters.

In this role, your responsibilities include but are not limited to:
 

•    Financial Planning and Management:
     - Prepare budget forecasts and track expenditures within the guidelines set out by Treasury and Departmental policies to provide timely, consistent and accurate budget information to meet operational requirements.
     - Advice on a broad range of administrative and financial responsibilities, such as accounts payable, monitoring and verification of expenses, completion of budget reports and forecasting financial needs.

 

•    Leadership and Coordination:
    - Provide direction to Management and Leadership by ensuring timely communication in coordinating calendar appointments, attending and participating in meetings, navigating work priorities, and providing input in performance evaluations for administrative support positions.
     - Perform quality assurance and ensure compliance by establishing administrative protocols and conducting audits to maintain, evaluate, and develop administrative processes, policies and practices.
    - Complete critical reviews to determine exceptions, non-compliance, errors and performs corrective action in Offender Records, and Correctional Administration (ORCA), Employee Time Management System (ETMS), Justice Online Information Network (JOIN), and the EM Solution. 
 

•    Human Resources and Payroll:
     - Act as the Payroll Administrator by being the initial contact for Pay & Benefits, Human Resource Departments, and the consultative resource for all the District. staff.
     - Contribute to the recruitment and orientation of new staff, as well as in facilitating training activities for staff development.
 

•    Misc. Administration:
     - Organize special projects, compile various statistical reports, and manage inventory of equipment and other assets.
     - Other Administrative tasks, as needed.
     - Attends and participates in Management Team Meetings with the Senior Manager and Managers, attends staff meetings within the District and co-ordinates monthly conference calls with the District Administrative staff. Travel may be involved to train staff, complete Administrative Audits and office visits.

Qualifications

High school diploma supplemented by a minimum of three years of related administrative experience in a fast-paced environment. 

Must be proficient with Microsoft 365 (Excel, Word,Teams).

Preference will be given to candidates with work experience in correctional services as well as intermediate to advanced working knowledge of Microsoft Office, ORCA system, JOIN, I-REQUEST, and 1GX Success Factors.

Some travel may be required therefore a valid Class 5 Driver’s License is required.

Successful candidate will be required to complete pre-employment checks including criminal background check, academics and fingerprinting. 

Equivalency:

Directly related experience or education will be considered on the basis of: 
•    1 year of experience for 1 year of education; or
•    1 year of education for 1 year of experience

Assets:
•    Experience in Financial Planning and Management
•    Experience in providing coordination, direction, and support to a Leadership team (e.g. schedule management, identifying work priorities, etc.)
•    Experience in Payroll administration and consultation in HR-related matters
•    Experience in developing and maintaining administrative processes
•    Experience in Equipment and Inventory Management and Information Technology

Special Considerations: The position is advertised at the existing classification minimum recruitment standards; if it cannot be filled at the current classification, the ministry is willing to consider qualifications at a lower classification level as a temporary Underfill.
