The Strategy and Market Access division is responsible for leading work on strategic priorities such as market access, international and intergovernmental engagement, and strategic foresight and economic analysis. 
 
The Engagement and Partnerships Branch advances Alberta's energy and minerals priorities by ensuring cohesive execution across stakeholders, governments, and initiatives. The branch builds and maintains strategic networks across the energy eco-system, advancing key partnerships. The branch also supports the Government of Alberta's intergovernmental position on energy and minerals matters and participation in key negotiations with the federal government, provinces and territories, and industry.

Role Responsibilities

The Engagement and Partnerships Branch has an opportunity for a highly organized and adaptable Branch Administrator.

Reporting to the Executive Director, the Branch Administrator provides executive, administrative, and operational support to branch leadership and staff, helping ensure the effective day-to-day functioning of the branch.

Key responsibilities include:

  • Lead branch Action Request Tracking System (ARTS) processes, including assigning and tracking requests, monitoring deadlines, communicating updates, and ensuring responses are accurate and receive the required approvals.
  • Provide executive administrative support to branch leadership, including coordinating calendars, meetings, travel, event registrations, and related logistics.
  • Prepare financial forecasts and budget reconciliations, review expense claims, process invoices, and reconcile procurement card transactions.
  • Coordinate human resource and position-management processes, including staffing requests, organizational updates, and employee onboarding and offboarding.
  • Support records and information management by maintaining physical and electronic records and managing branch content in SharePoint.
  • Assist staff with forms, templates, government systems, and administrative processes related to human resources, expenses, accommodations, and other operational needs.
  • Identify administrative and operational issues and recommend improvements to strengthen efficiency, consistency, and service delivery.
  • Support Energy and Minerals missions and major events, including procurement processes, ministerial and executive travel arrangements, registration, and related purchases. 
  • Coordinate or prepare Access to Information request responses. 
  • Manage office supplies, accommodations, equipment, assets and surplus equipment. 
  • Provide executive administrative support in Calgary (e.g. for ADM, Deputy Minister, and Minister) and division-wide administrative cover-off, as required.

Qualifications

High school diploma, plus a minimum of three (3) years of related experience in office administration. 

Related experience or education may be considered as an equivalency on a one-for-one basis. 

Required Experience:

  • Proficiency with enterprise office systems, including MS Office, SharePoint, Visio, and related tools. 

Assets:

  • Preference will be given to candidates with relevant post-secondary credentials, such as a two-year office administration diploma. 
  • Preference will be given to candidates with five (5) or more years of related experience.
  • Experience supporting executive or senior leadership in a complex, high-volume environment. 
  • Experience with financial administration, including budgeting, forecasting, expenditure tracking, and reconciliation.
  • Knowledge of government or public sector administrative processes and procedures.
  • Experience with Government of Alberta procurement processes and systems (e.g. 1GX).
