The Ministry of Children and Family Services funds programs and services to support vulnerable children, youth, families, and individuals to live safely and succeed in Alberta. This includes providing services and resources to protect children and youth from abuse and neglect, and effectively address harm that has placed them in need of intervention. Mentoring and support services are available to youth transitioning into healthy, productive adults. The ministry also invests in community-based groups that support prevention and early intervention services such as Family Resource Networks, youth emergency shelters as well as programs that raise awareness and help respond to family violence, sexual violence, and abuse.

Role Responsibilities
Are you a detail-oriented administrative professional with a knack for finance? We are looking for Administrative Support in Drayton Valley to provide essential front-line services to our Child Intervention Practitioners. You will be the backbone of the office, managing complex financial transactions and ensuring the integrity of data for children in our care.
The Administrative Support role provides front-line services and supports within established program policies and procedures to an assigned regional office or team of Child Intervention Practitioners. This position is responsible for the accurate and timely processing of various accounts payable transactions and responds to vendor and client inquiries. The Administrative Support is also responsible for maintenance of data related to children in care so that it is accurately received, entered, coded, maintained and filed into various information management systems. Office administration and general administrative supports can also be provided to support effective office operations.
This position covers any of the programs delivered in the region (child intervention – intake, assessment, ongoing case management, permanency, adoptions, supports for permanency, foster care facilities, kinship care facilities, childcare licensing). The incumbent works with multiple information management systems on a regular basis and maintains files and records.
Key Responsibilities:
- Financial Administration: Code and process accounts payable (vouchers, invoices, and caregiver claims) with high accuracy while monitoring service expenditures against budgets.
- Data & Records Management: Maintain sensitive files and enter critical case data into multiple provincial systems (such as Child Intervention Case Information Online (CICIO), One Government eXperience (1GX), and Contract Management Administration System (CMAS).
- Office Operations: Serve as the professional first point of contact for clients and vendors, manage incoming/outgoing mail, and provide general administrative support to the team.
- Information Disclosure: Support the processing of Protection of Privacy Act (POPA) and disclosure requests to ensure information is shared legally and securely.

Requirements
- High school diploma plus a minimum of two years of related administrative experience
- Minimum of one year of work experience using Microsoft Office products (Outlook, Excel, Word, PowerPoint)
Equivalencies will be considered on the basis of one year of education for one year of experience, or one year of experience for one year of education.

- Knowledge of systems used in delivery services (e.g. CICIO, Child and Youth Financial Suite (CYFS), CMAS, Child Youth Information Module (CYIM), 1GX, InfoMart and BERNIE)
- Working knowledge of Ministry GOA financial policies and procedures
- Experience in provincial file standards when creating, opening, closing, transferring, and accepting of files
- Knowledge of guidelines and procedures of the Access to Information Act (ATIA) and the Protection of Privacy Act (POPA)
- Working knowledge of legal authorities and time frames that are required to accurately access the CICIO mainframe
- Proficiency in navigating multiple government systems and extracting relevant information
Notes
- This competition will be used to create an eligibility list of qualified candidates to fill upcoming opportunities

- There is currently one full-time permanent position in Drayton Valley
