Role Responsibilities

 

The Executive Support provides senior‑level executive, administrative and operational support to ensure the effective functioning of the Office of the Chief. This role supports the Chief through high‑quality research, preparation of correspondence, briefings and coordination of executive business, often involving highly sensitive and confidential information. The position plays a critical role in enabling informed decision‑making, supporting organizational leadership functions and contributing to the successful establishment and ongoing operations. Exceptional judgment, discretion, initiative and the ability to manage competing priorities in a complex public‑safety environment are essential.

 

 

Key Responsibilities include:

  • Support the Chief through research, preparation, review and coordination of correspondence and briefings, including identifying urgent or sensitive matters, compiling background materials, and preparing briefing binders for meetings and events.
  • Manage the flow of executive business by initiating, assigning, tracking and monitoring correspondence, projects, approvals and special assignments on behalf of the Chief to ensure timely and coordinated responses.
  • Provide comprehensive executive administrative support, including calendar management, scheduling of briefings and engagements, coordination of meetings and events, and preparation of agendas, minutes and action item tracking.
  • Administer the Chief’s Office operations, including maintaining administrative systems and procedures, managing records, coordinating Access to Information Act (ATIA) and Protection of Privacy Act (POPA)  matters, and representing the office at administrative meetings as required.
  • Oversee financial and organizational support functions, including administering the Chief’s Office budget, monitoring expenditures and forecasts, reconciling discrepancies, and coordinating contracts with bureau and branch administrators.
  • Provide human resources administrative support, including acting as Workplace Administrator (WPA), supporting staffing processes, maintaining organizational charts and position documentation, and providing guidance and support to administrative staff across ASPS.

Qualifications

 

High School Diploma and four years progressively responsible related experience; or equivalent.

 

Directly related education or experience considered on the basis of:

  • one year of education for one year of experience
  • one year of experience for one year of education

 

 

Requirements:

  • Demonstrated experience supporting senior executives in a politically sensitive public‑sector environment.
  • Valid Class 5 Alberta Driver's License or equivalent.

 

 

Assets:

  • Strong analytical and research skills to compile, synthesize, and summarize information and recommend practical administrative solutions.
  • Experience with calendar management, scheduling of briefings and engagements, and coordination of meetings.
  • Previous experience administering executive office budgets, reconciling expenditures and identifying and resolving financial discrepancies.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook and SharePoint.
  • Strong computer skills and the ability to work effectively across multiple digital systems.
  • Previous experience coordinating ATIA/POPA requests.

Notes

 

  • There is one (1) permanent (1-year), full-time, fully in-person position available
  • Monday to Friday, 8:15am to 4:30pm
  • Final candidates will be required to undergo a security screening
  • Valid Class 5 Alberta Driver's License or equivalent is required
