Role Responsibilities

Transcript Management Services (TMS) is looking for a new Audio Clerk to join their team – someone who truly enjoys learning, delivering great customer service, and managing a deadline-driven daily workload!

At TMS, Audio Clerks act as “air traffic control” for over 20,000 new courtroom transcript orders each year. Clients can select 2, 5, or 10 business days, or 30 calendar days as the turnaround time. 

Reporting to the Team Lead of TMS in the Court and Justice Services division, you will play a key role in:

  • Reviewing incoming transcript orders to ensure all required information has been submitted by external and internal clients through the online Transcripts Digital Services (“TDS”) platform.
  • Assigning new transcript orders to contracted transcribers in TDS and responding to their questions in a timely and helpful manner.
  • Answering a variety of questions from clients within TDS, or by email and sometimes by phone, including investigating and responding to client concerns.
  • Administering the workflow of transcripts with oral decisions and rulings which may be reviewed by the presiding Justices.
  • Checking transcripts for accuracy/quality before they are released to clients.
  • Taking on other operational duties, such as preparing appeal records, preparing copies of audio files for external clients, assisting with accounting tasks, etc.
  • Building and maintaining working relationships with Justices and judicial assistants, a wide range of external clients (e.g., Crown prosecutors, lawyers, members of the public), as well as colleagues at the Alberta Court of Justice, Court of King’s Bench, Court of Appeal, and Court Technology Services.

Qualifications

Required: High school diploma and three years of related experience; or equivalent as described below.

The following will be considered related experience: 

  • Work experience in transcription from audio recordings.
  • Work experience within the Alberta Courts system or the Ministry of Justice, or other court systems.

Equivalency: Directly related experience or education considered on the basis of:

  • One year of experience for one year of education OR
  • One year of education for one year of experience.

Assets

Preference will be given to candidates with the following:

  • Working knowledge of how the courts operate, including digital audio recordings, transcripts, legislation (e.g., Recording of Evidence Act), and regulations (e.g., Alberta Rules of Court).
  • Strong working knowledge of and experience using Microsoft Office applications (Outlook, Word, Teams, Excel, SharePoint) and Adobe.
  • Work experience using JOIN (Justice Online Information Network), CASES (used by the courts for civil cases), and For The Record (FTR) software applications employed in Alberta courts for recording, searching for, and playing digital audio.
  • Post-secondary education, including those whose focus has been in areas such as Justice studies, paralegal and legal assistant programs.

  • Hours of Work: 36.25 hours per week, Monday to Friday
